Theater Rental


Hi-Pointe Theatre
The Hi-Pointe Theatre offers private rentals for film screenings, corporate events,
birthday parties, school groups, and client appreciation events. Please review the
policies below before submitting a rental request.
Private Rentals & Event Policy
Rental Rates & Time Blocks
Rates generally range from $750–$1,800, depending on event type, time of day, and staffing needs. Daytime rates for Monday–Thursday rentals starting before 4:00 PM begin at $500.
A 20% discount is available for non-profit organizations and community partners.
Rentals are typically booked in three-hour blocks. Additional time, staffing, or technical requirements may incur extra fees.
Rental fees include use of the auditorium, standard projection, sound, and staffing.
Ticketing (If Theatre Sells Tickets)
- If the Hi-Pointe Theatre is selling tickets for your event, the Theatre will retain
20% of gross ticket sales.
Booking & Payment
- Full payment is required in advance to confirm and hold a rental date.
- Payment is typically due 5–10 business days prior to the event.
- Rentals booked within seven (7) days of the event require payment upon invoicing.
- Dates are not confirmed until payment is received.
- Failure to remit payment by the due date may result in cancellation.
Media Delivery Requirements
To ensure proper testing and presentation, all screening materials must be delivered
in advance.
- Digital files (DCP or digital video):
Must be received no later than five (5) business days prior to the event. - Physical media (Blu-ray or DVD):
Must be received at least three (3) business days prior to the event and must be region-compatible. - All media must be approved and tested by theater staff in advance.
The Hi-Pointe Theatre cannot guarantee presentation of untested or late-delivered media.
Failure to meet media delivery deadlines may result in cancellation without refund.
Film Licensing
- Private, closed events do not require public performance licensing,
provided the screening is not advertised or open to the general public. - Public or ticketed events may require proof of public performance rights.
- The Hi-Pointe Theatre can assist in determining licensing needs when applicable.
Concessions
- Concessions may be handled in one of the following ways:
- Prepaid concession vouchers added to the invoice
- Concessions open for purchase at standard pricing
- Outside food and beverages are not permitted unless approved in advance.
Cancellations & Refunds
- All rental payments are non-refundable.
- Cancellations made less than five (5) business days before the event are subject to full forfeiture of rental fees.
- The Hi-Pointe Theatre reserves the right to cancel an event if payment or media deadlines are not met.
Day-of Event
- Access times, setup needs, and special requests must be arranged in advance.
- Renters are responsible for adhering to agreed-upon arrival and exit times.
- Additional time or staffing beyond the contracted rental period will be billed accordingly.
